We currently have an opportunity for an Administrative Executive Assistant to join our team located in Lake Forest, IL. 

Responsibilities

Your Role:

 

The Administrative Executive Assistant will support the day-to-day business needs of designated executive members (2 Business Unit Presidents and Human Resources leader) as needed. The Administrative Executive Assistant will interact frequently with Executive and Senior level management within Reynolds Consumer Products and must exude poise and confidence in working with all levels of management.

  • Maintain the calendar of the designated executive team members.  Maintain and organize Executives’ schedules and provide direct support to their daily activity, including coordination of day-to-day schedules and appointments. May establish appointment priorities and reschedule or refuse appointments or invitations.
  • Anticipate and prepare materials needed by Executives for meetings, appointments, telephone calls and inform Executives on matters to be considered. Provide support to Executives and their guests during meetings, noting items requiring follow up.
  • Make and/or coordinate travel arrangements; file expense reports.
  • Arrange off-site executive meetings as needed, including venue selection, and on-site coordination.
  • Support monthly meetings by scheduling the meeting, noting action items and following up on essential items.
  • Produce executive level presentations, reports and other documents (e.g., monthly operations review, quarterly Board of Directors’ meetings, etc.) as required.
  • Answer telephones, take messages and follow up as necessary.
  • Interface with company executives on day-to-day operations, often of a confidential nature.
  • Anticipate the needs of the executive team. By employing a self-starting, empowered mindset ensure that the executive team is as effective as it can be.
  • Support special projects as requested.
  • Size, scope and complexity of assigned portfolio are factors in the level of responsibility.

Qualifications

We need you to have: 

  • High school diploma or equivalent.
  • 5+ years of related professional and progressive administrative support with C-level executives.
  • Proficient in MS Office.
  • Excellent written and verbal communication skills with the ability to communicate and influence at all levels within the organization.
  • Self-directed with the ability to work in a fast-paced environment with multiple accountabilities and multiple internal customers.
  • Strong organizational skills with high attention to detail.
  • Ability to work a flexible schedule during key business deadlines.
  • Ability to be discreet with confidential information and sensitive issues.
  • Must be team-oriented with the ability to work on high collaboration and performance teams.

Icing on the cake: 

  • Associate's degree in business or related field strongly preferred.
  • Previous experience in customer service.

Being physically present at the Lake Forest, IL corporate office during normal working hours on a regular basis is an essential function of the position.
